are in the EEA, the UK, or Canada, your local law gives you rights too. Section 12 has the details.

1. WHAT INFORMATION DO WE COLLECT?
We collect personal information that you provide to us, information we collect automatically when you use our Services, and recordings and transcripts of your conversations with us.
Personal information you disclose to us
We collect personal information that you voluntarily provide to us when you express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, when you apply for a role with us, or otherwise when you contact us.
The personal information we collect may include the following:
- Names
- Phone numbers
- Email addresses
- Job titles
- Contact preferences
- Contact or authentication data
- Biometrics
- Birthdate
- Work experience
- Educational background
- Bank account information
Sensitive Information. When necessary, with your consent or as otherwise permitted by applicable law, we process the following categories of sensitive information:
- Biometric data
- Information revealing race or ethnic origin
- Student data
- Social security numbers or other government identifiers
We collect these categories in connection with recruitment, employment, and payroll. We do not collect them through our website chat or our telephone line, and our virtual assistant is instructed never to ask for or accept them. See Section 5.
Conversations with us
We collect and keep records of your conversations with us:
- Call recordings. Audio of calls you make to our main line. See Section 3.
- Call transcripts. Where our systems generate a written record of a call.
- Chat transcripts. The full text of chats on our website widget, Facebook Messenger, WhatsApp, and any other messaging channel we operate. See Section 4.
- Conversation notes. A short written summary of what you asked for and what we did, kept in our contact records so our team can follow up and so you do not have to repeat yourself.
SMS Communications and Consent
By submitting your phone number on our website or during interactions with our services, you consent to receive SMS messages from Telework PH Outsourcing Solutions [Inc - CONFIRM ENTITY]. These messages may include:
- Customer support responses
- Appointment confirmations and reminders
- Marketing and promotional content
- Service or system notifications

We will not send SMS messages without your consent.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
Some information - such as your Internet Protocol (IP) address and/or browser and device characteristics - is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information.
The information we collect includes:
- Log and Usage Data. Service-related, diagnostic, usage, and performance information our servers automatically collect and record in log files.
- Device Data. Information about the computer, phone, tablet, or other device you use to access the Services.
- Location Data. Information about your device's location, precise or imprecise. You can opt out by refusing access or disabling your Location setting.
- Chat session data. Where you opened a chat with us, the time it started, and which of our channels you used.
2. HOW DO WE PROCESS YOUR INFORMATION?
We process your information to provide, improve, and administer our Services, communicate with you, recruit, process payments, protect against fraud, and comply with the law.
We process your personal information for the following reasons:
- To respond to your enquiries and provide our Services. Including answering your questions, booking calls with you, and following up on what you asked for.
- To improve our customer service. Including reviewing recordings and transcripts to train and coach our team and check the quality of the service we give you.
- To recruit and hire. To assess applicants for current and future roles. We provide additional privacy notices before collecting personal information for recruitment.
- To process payments under a contract between you and us.
- To communicate with you about our services and offerings, where you have opted in.
- To protect the security of our website and prevent fraud.
- To enforce our conditions of sale, website terms, and contracts.
- To comply with our legal obligations, including under the Data Privacy Act of 2012 and other applicable law.
- To save or protect an individual's vital interest, such as to prevent harm.
- For other purposes disclosed to you at the point of collection.
3. RECORDING OF TELEPHONE CALLS
Calls to our main line are recorded. We tell you at the start of every call, and you can decline.
When you call our main line, your call is recorded.
Why we record. For three reasons: to confirm what was agreed, to train and coach our team, and to check the quality of the service we give you.
We tell you first. You are told the call is recorded at the start of every call, before we ask you for any information.
If you do not want to be recorded. Tell us. We will take your name and number without a recording, and a member of our team will call you back.
How long we keep recordings. 6 months from the date of the call, then we delete them. If a recording forms part of an open complaint, dispute, or legal matter, we keep it until that matter closes.
Our legal basis. Your consent for the recording itself, and our legitimate interest in service quality and training.
This section applies to calls to our main line. Calls made by our team to you in the course of a client engagement are covered by the separate notice we give at the time.
4. CHAT AND MESSAGING CONVERSATIONS
We save the text of chats you have with us, and we tell you before your first message.
When you chat with us on our website, on Facebook Messenger, on WhatsApp, or on any other messaging channel we operate, we save the full text of that conversation.
Why we save it. So our team can follow up on what you asked for, so you do not have to repeat yourself if you come back to us later, and so we can improve the answers we give.
We tell you first. A notice appears in the chat window before your first message, with a link to this policy.
How long we keep transcripts. 12 months from the date of the last message in the conversation, then we delete them.
Please do not send us these in a chat. Payment or card details, government ID numbers, passwords, one-time codes, or health information. We do not ask for any of these in a chat and we do not need them. If you send one anyway, we will not save it into your record.
Our legal basis. Your consent, and our legitimate interest in responding to your enquiry.
5. ARTIFICIAL INTELLIGENCE AND AUTOMATED PROCESSING
A virtual assistant may handle your first contact with us. It tells you it is not a person, it does not decide anything about you, and you can ask for a human at any time.
Our virtual assistant
Your first contact with us by phone or by chat may be handled by a virtual assistant. The assistant is software, not a person.
It tells you what it is. The assistant identifies itself as a virtual assistant before it asks you for anything, on every channel. If you ask whether you are speaking to a bot, it will say yes.
You can always ask for a person. If you ask for a human at any point, the assistant passes you to one. You never have to argue with it to reach us.
What the assistant does
- Answers common questions about our company and our services
- Works out which team your enquiry belongs to
- Books a discovery call, if you want one
- Records your name and contact details so the right team can reach you
- Looks up your record in our contact system, so it can greet you and avoid asking you questions you have already answered, and adds a short summary of your conversation to that record
What the assistant does not do
It does not make any decision about you. It does not decide whether you are shortlisted, interviewed, or hired. It does not decide what you are charged. It does not decide what service you receive, or approve or refuse anything.
Every decision of that kind is made by a person. The assistant's role is to answer, route, and take a message.
It does not discuss individual people. It will not confirm whether someone works for us, discuss anyone's pay, schedule, or record, or give out any employee's contact details.
It does not quote prices.
It does not collect sensitive information. It is instructed never to ask for or accept payment or card details, government ID numbers, passwords or one-time codes, health information, or details about your family situation. If you volunteer any of these, it does not write them into your record and passes you to a person.
Human review
We do not rely on the assistant alone for anything that affects you. Where your enquiry needs a decision, judgment, or an answer the assistant does not hold, it passes you to a member of our team.
Your rights
Your rights under the Data Privacy Act, and under any other privacy law that applies to you, cover everything the assistant handles, exactly as if you had spoken to a member of our team. Section 12 explains those rights.
If you would prefer not to deal with the virtual assistant at all, ask for a person at the start, and we will arrange it.
Other uses of AI in our business
We provide outsourcing services in which our teams use AI tools to draft and prepare work. Where we do this for a client, the client is the controller of that client's data, and their own privacy notice governs it. A trained person reviews that work before it reaches anyone.
6. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?
We only process your personal information when we have a valid legal reason to do so.

If you are in the Philippines
The Data Privacy Act of 2012 (Republic Act No. 10173) requires us to have a lawful criterion for processing your personal information. We rely on:
- Your consent, which you may withdraw at any time
- Performance of a contract with you, or steps taken at your request before entering one
- Compliance with a legal obligation to which we are subject
- Protection of your vital interests, including life and health
- Our legitimate interests, where these are not overridden by your fundamental rights and freedoms
For sensitive personal information, we rely on your consent, on existing laws and regulations that permit the processing, or on the other grounds permitted under Section 13 of the Act.
If you are located in the EU or UK
The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. We may rely on consent, legal obligations, vital interests, and legitimate interests.
If you are located in Canada
We may process your information with your express or implied consent, which you can withdraw at any time. In some exceptional cases, we may be legally permitted to process your information without your consent, as set out in applicable Canadian law.
7. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?
We may share information in specific situations and with specific categories of third parties.
We may share your data with third-party vendors, service providers, contractors, or agents who perform services for us or on our behalf and require access to such information to do that work. We have contracts in place with them designed to safeguard your personal information. They cannot do anything with your personal information unless we have instructed them to; they will not share it with any organization apart from us, and they commit to protect it and to retain it only for the period we instruct.

- Cloud computing services
- Data storage service providers
- Data analytics services
- Customer relationship management and communications platforms, which host our contact records, our telephone line, our chat channels, our call recordings, and our chat transcripts - NEW
- Government entities
- Payment processors
We may also share your personal information in these situations:
Business Transfers. In connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business.
Affiliates. With our parent company and any subsidiaries, joint venture partners, or other companies under common control with us, who are required to honor this privacy notice.
Where your information is stored
Some of the service providers above store information outside the Philippines. Where we transfer your personal information across borders, we put in place contractual protections designed to give it a comparable level of protection, as required by the Data Privacy Act and by other applicable law.
8. HOW LONG DO WE KEEP YOUR INFORMATION?
We keep your information only as long as we need it. Call recordings for 6 months, chat transcripts for 12 months.
We keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law, such as for tax, accounting, employment, or other legal requirements.

When we have no ongoing legitimate business need to process your personal information, we will delete or anonymize it. Where that is not possible, for example because it sits in backup archives, we will securely store it and isolate it from further processing until deletion is possible.
9. HOW DO WE KEEP YOUR INFORMATION SAFE?
We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
10. WHAT HAPPENS IF THERE IS A DATA BREACH
If a breach puts your information at real risk, we tell you, and we tell the regulator.
We maintain a procedure for identifying, containing, and reporting personal data breaches.
If a breach affects your sensitive personal information or other information that may enable identity fraud, and it is likely to give rise to a real risk of serious harm to you, we will notify the National Privacy Commission and the affected individuals within seventy-two (72) hours of knowledge of the breach, as required by the Data Privacy Act and its implementing rules.
Where another privacy law applies to you, we will also meet the notification obligations that law imposes.

11. DO WE COLLECT INFORMATION FROM MINORS?
We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. Withdrawing your consent
If we are relying on your consent to process your personal information, you have the right to withdraw that consent at any time by contacting us using the details in Section 15.
Withdrawing consent will not affect the lawfulness of processing carried out before you withdrew it, nor will it affect processing we carry out on a lawful ground other than consent.
Objecting to the virtual assistant
You may ask to deal with a person instead of our virtual assistant at any point, by saying so in the call or the chat. We will not treat your enquiry any differently because you asked.

13. CONTROLS FOR DO-NOT-TRACK FEATURES
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.
14. DO WE MAKE UPDATES TO THIS NOTICE?
Yes, we will update this notice as necessary to stay compliant with relevant laws.
We may update this privacy notice from time to time. The updated version will be indicated by an updated "Last updated" date and will be effective as soon as it is accessible. If we make material changes, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this privacy notice frequently.
